10 – Terms and Conditions
All Event Videotaping videos* include:
- 2 digital video cameras at the Ceremony
- 1 digital video camera at the Reception and other events
- Professional digital editing of audio and video
- Finished video on two sets of DVD (either DVD+R or DVD-R, requires suitable DVD player)
- Coordination with wedding planner or consultant and photographer
- Delivery of finished video and raw footage to you, after the final amount due has been paid
* With the exception of the Economy Package, which includes only videotaping of the wedding ceremony itself.
It is the client’s responsibility to assure that the wedding location facility permits videotaping. Event Videotaping will comply with all requests and requirements made by the wedding location facility concerning camera placement, etc.
The length of the finished video will depend on several factors, including number of events included in the package, usability of video shots, lighting, length of ceremony, etc. It is the intention of Event Videotaping to include (1) all of the Wedding Ceremony and (2) as many significant events which occur during other videotaped events as possible (cutting of the cake, departure, etc.) as determined by client request and at our discretion.
Names which are included in the video are taken from the wedding handout provided at the wedding (name of bride and groom, names of attendants, etc.). Should the wedding not provide a handout, these names will need to be provided to Event Videotaping prior to the wedding. All production material (handouts, names, CD music to be included, etc.) are requested two weeks before the wedding with the last acceptable delivery-for-inclusion to be at the wedding itself. Any such material delivered to the studio after the wedding cannot be guaranteed to be included, unless previously agreed.
The initial deposit is normally non-refundable, should the client choose to cancel. Should a change in venue or date occur, Event Videotaping will do all within its power to comply with the change. Should a rescheduling of the wedding result in the unavailability of videotaping by Event Videotaping or a videography service provided by Event Videotaping, and should that rescheduling occur before one month prior to the original date, a refund may be requested.
The courtesy of two week’s notice is requested if there are changes in times or locations. A reasonable attempt to accommodate last-minute changes will be made, but availability and flexibility may be limited.
If videotaping is unsuccessful due to an error by Event Videotaping, a full or partial refund can be provided, with conflict resolution by binding arbitration if needed. Maximum liability on the part of Event Videotaping will be limited to actual monies paid by the client.
Should unforeseen events occur (power blackout, rain, etc.), the videotaping will be done on a "best-as-possible" arrangement. Event Videotaping will not be held liable for these events.
Raw video is provided to the client as a part of the delivery package and is not retained on file by Event Videotaping. However, the finished DVD is kept on file indefinitely, and additional DVDs may be ordered at any time in the future.
Event Videotaping retains the right to use the video in any future displays or promotional videos.
Once the signed contract and deposit have been received, Event Videotaping guarantees that it will not accept a conflicting event. Should an unforeseen conflict arise on the part of Event Videotaping, we will at our discretion either (1) provide an alternate videotaping service or (2) refund all monies.
The quality and usability of the finished product is guaranteed to be to optimal standards as normally provided by the processes used at Event Videotaping and to those standards normally provided within the wedding videography industry. Event Videotaping makes no guarantees, either express or implied, in regard to the acceptability of the finished product to the client or participants beyond the normal intent-to-please. If there are problems with the acceptability of a finished product, open communication is encouraged between all parties.
Client warrants that he/she has all legal rights to material (music, photos, etc.) used during the wedding events and provided to or requested from Event Videotaping. Client assumes all responsibility for obtaining necessary permission and rights, clearance permits, etc. The resulting video is intended for private home use, and client assumes any responsibility and liability should the video be publicly performed or displayed.
The DVD disc(s) you will receive will be either DVD+R or DVD-R recordable discs, and they will play in most recently manufactured and well-maintained DVD players. Event Videotaping cannot guarantee that the DVD will play in any given specific DVD player. Event Videotaping will test each DVD individually before shipment in order to verify a successful reproduction of the original.
Should the wedding event(s) at which Event Videotaping is expected to attend extend to more than four hours (consecutive or cumulative), there may be additional charges on a one-half hour basis of $50 per one-half hour.
Travel expenses outside of the Kerrville-Boerne-San Antonio-Hondo area may incur additional travel reimbursements from the client. If required, all such travel expenses will be estimated and communicated to the client in advance of the event. Any incurred parking fees will be added to the final charge. Sales tax will be added to the final total.
Client must provide a safe working environment for the videographer(s). Client is responsible for any loss or damage done to equipment by guests. Shelter must be provided from rain, extreme temperature, sand, and wind, and should these conditions exist, videotaping may be limited.
Completion of the video will be approximately 4-6 weeks after the event and after receipt of all anticipated pre-production materials (names, wedding guide, extra video, photos, etc.) Event Videotaping cannot accept responsibility for material lost or damaged in transit to or from client.
